SAMPLE PROGRAM
SAMPLEIDENTITYREFERENCESAMPLE FILEAPPROVAL

A useful sample program answers a defined buying question. It records which lot and specification were supplied, how the buyer evaluated the material and what approval means for the future commercial order.

Samples support decisions only when their identity and purpose are clear. Keep the lot link, draft specification, observations and decision together. Start by writing one or two questions the sample must answer, such as whether a root grade suits transparent retail packing, a cut size feeds existing equipment, a powder flows through a dosing step or an extract integrates into a prototype. Request enough material to perform that evaluation under realistic conditions. The label should state product, scientific identity, plant part, format, lot, sample code and preparation date. Compare against documented criteria and record the equipment, preparation and storage conditions behind important observations. If a revision is requested, issue a new sample code rather than silently replacing the reference. Approval should state its limits and explain how the commercial batch will be matched, reserved, tested and packed. Pricing samples, laboratory samples and pre-production samples may serve different purposes, so identify the stage on every request. When several departments participate, consolidate their comments into one controlled decision rather than sending conflicting informal feedback to the supplier.

Write the sample objective first

State whether the buyer is checking root appearance, cut size, powder handling, extract compatibility, capsule configuration or documents. One small sample cannot prove every commercial attribute.

Define the intended process and destination before requesting material.

Request a representative sample

The supplier should identify the product, format, lot, sample weight and preparation date. Root and cut-root samples must include normal batch variation rather than selected showcase pieces.

Powder and extract samples need sealed moisture-protective packaging.

Evaluate against written acceptance points

Use the draft specification during review and record appearance, handling, particle size or formulation observations as applicable. Distinguish preferences from mandatory limits.

Document requested changes before a revised sample is prepared.

Connect approval to scale-up

Record whether the approved lot remains available and how the commercial batch will be matched. Confirm pack sizes, lead time, document set and production quantity.

Retain a labeled reference sample when practical.

Use blind comparison where useful

Neutral sample codes can help teams compare appearance or process behavior without price or supplier bias.

Keep the code-to-lot link controlled for traceability.

Record the evaluation environment

Lighting, preparation method, equipment and storage time can affect observations. Note the conditions behind important decisions.

Repeat critical tests under intended production conditions.

Close the sample decision

Mark each sample approved, conditionally approved, rejected or requiring revision, with date and reviewer.

An open-ended sample should not silently become the commercial standard.
